Privacy Policy

Last updated: August 19, 2026

This is a general-purpose privacy policy template prepared for planning purposes. It is not legal advice. Before publishing this policy, have it reviewed by a qualified Canadian privacy lawyer to confirm alignment with PIPEDA and any applicable provincial legislation, and to confirm accuracy of every practice described below.

1. Overview

The AI Leap (“The AI Leap,” “we,” “us,” or “our”) organizes The AI Leap: London 2026 and related events, resources, and communications (collectively, the “Services”). This Privacy Policy explains what personal information we collect through the-ai-leap.london and our event operations, how we use and share it, and the choices available to you. By using our Services, you agree to the practices described here.

2. Information we collect

We collect information in three ways: directly from you, automatically as you use our site, and from third parties who help us run the event.

3. How we use your information

  • Process event registrations, sponsorships, and payments
  • Run our human-curated matchmaking program (matching your stated goals to relevant attendees)
  • Send confirmations, logistics updates, and (with consent) marketing communications
  • Operate, maintain, and improve the-ai-leap.london and future events
  • Respond to inquiries submitted through our contact form
  • Comply with legal, tax, and regulatory obligations

We collect and use personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws. We rely on your consent (express or implied by context), the necessity of processing to deliver a service you requested (e.g., registration), and our legitimate interest in operating and improving the event, balanced against your privacy rights.

5. How we share information

We do not sell personal information. We share it only in these circumstances:

  • Service providers: registration platforms, email/CRM tools, payment processors, and analytics providers who process data on our behalf under contract.
  • Matchmaking: if you opt in, limited profile information (name, company, role, stated goals) is shared with the specific attendees or sponsors you are matched with.
  • Sponsors (opt-in only): an attendee list is shared with Solution Station Partner and Presenting Partner sponsors only when you explicitly opt in during registration.
  • Legal & safety: where required by law, to protect our rights, or to protect the safety of attendees and staff.
  • Business transfers: in connection with a merger, acquisition, or sale of assets, subject to standard confidentiality protections.

6. Cookies & analytics

We use essential cookies to operate the site and, with your consent where required, analytics cookies to understand traffic and improve content. You can control cookies through your browser settings; disabling them may affect site functionality.

7. Data retention

We retain registration and contact information for as long as needed to deliver the Services, maintain event records, meet legal/tax obligations, and support future events, after which it is securely deleted or anonymized. You may request earlier deletion as described below.

8. Your rights & choices

  • Access & correction: request a copy of the personal information we hold about you, or ask us to correct it.
  • Withdraw consent: opt out of marketing emails at any time via the unsubscribe link, or contact us to withdraw consent for other uses.
  • Deletion: request deletion of your personal information, subject to legal retention requirements.
  • Complaints: contact us first; you may also contact the Office of the Privacy Commissioner of Canada.

To exercise any of these rights, contact us using the details below.

9. Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, or destruction. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

10. Children's privacy

Our Services are intended for business professionals and are not directed to individuals under 18. We do not knowingly collect personal information from children.

11. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date above reflects the most recent revision. Material changes will be communicated via the site or by email where appropriate.
